Wrapped around the 12-million-year-old boulders that give the resort its name, The Spa at The Boulders offers Premier Members and Resort guests a Zen-like ambiance with the healing serenity and energy of the desert. Within this 33,000 sq.ft. sanctuary, bliss-seekers will find two diverse wings. In the invigorating West wing, guests will find a 2,000 sq.ft. fitness facility which includes a yoga studio, large movement studio, cardiovascular workout equipment and weight training equipment. The east wing holds 24 diverse treatment rooms, Men's and Women's steam, a dry sauna, and Japanese-inspired relaxation baths called O'furo, and the Tea Room, a common resting place for men and women.
The Boulders Resort and Spa is currently looking for a Spa Group Supervisor to join our team!
The role of the Spa Group Supervisor is to provide support for the administrative needs of the Spa with successful execution of all spa related group functions through pre planning, scheduling and administrative actions. Provides a highly professional, proactive service to all group contacts from pre planning to completion.
Daily Duties:
- Liaise with group planners by phone/email and in person.
- Promote and sell customized spa programs to groups.
- Ensure prompt and highly professional service to both internal and external customers.
- Bookings of event space, classes and activities.
- Process all group blocks from the sales department.
- Detailed scheduling of all group services in Book4time, making adjustments to staffing levels to ensure group needs are met.
- Make all necessary changes, edits and adjustments to Group Spa itineraries.
- Assist in special event staffing, be the main point of contact for group attendees.
- Provide strong support to the Spa team to ensure a flawless delivery for a successful event.
- Assist in maintaining labor hours for all Spa staffing positions during peak/off-peak season to meet business needs.
- Work with the Spa Management team as an active MOD for all Spa departments.
- Work closely with Spa Operations Manager as a training coordinator in proper treatment verbiage and knowledge.
Weekly Duties:
- Produce weekly group updates for the Spa team.
- Attend weekly internal meetings with Resort Sales and Conference departments as required.
As required:
- Assist at front desk, Niwa, and phones as needed to meet business needs in busy periods.
- Resolve any guest issues including billing disputes and guest satisfaction.
- Have a pulse on what is going on throughout the spa in all areas – reception, fitness, Niwa, therapists, and retail. Interact with guests and be able to produce feedback on spa experience.
- Enter work orders into HotSos.
- End of day closing duties including manage the books and call off therapists.
Experience and Skills requirements:
- Highly organized, ability to multi task and take initiative.
- Professional appearance and practice in every situation maintaining guest relations at all times.
- Ability to work independently but also work well within a team setting
- Strong proficiency in Excel spreadsheets and reports.
- Previous experience as a team leader/supervisor within a Spa/luxury resort preferred.
- Customer service minimum 3 years.
- Good knowledge of Spa reservations software, Spasoft/Book4time experience highly desired.
